About cluubi and getting started
What is cluubi?+
cluubi is a platform for running sports clubs and academies end to end: memberships, enrollments, billing, notifications, programs, teams, calendar, attendance, call-ups and stats — with clear roles for admins, coaches, athletes and guardians.
How do I get started?+
Request a demo via the site contact form. We guide you, provide a trial with a basic setup, and when you are ready you activate the plan that fits your club.
How long does setup take?+
From minutes to a few hours depending on data volume. Register members one by one or import Excel / Google Sheets templates (members, balances, history). cluubi validates data quality before you confirm the import.
What if we already use another platform?+
Contact us for guidance. You can usually export from other tools and migrate with our templates. Always follow your country’s data-protection rules.
Do I need a computer?+
Not required. cluubi is built for mobile devices (phones and tablets) via Android and iOS apps, with web access when you need it.
Do we need a different app per role?+
No. One super-app for everyone. The club assigns roles and permissions so each person only sees and manages what they should.
Which languages does cluubi support?+
The app and this site are available in Spanish (Colombia), English (United States), Portuguese (Brazil) and French (France).
Do I need technical skills?+
No. The experience is intuitive for anyone who already uses a phone in day-to-day club operations.
Is cluubi secure?+
Yes. We follow modern security practices and host on certified cloud infrastructure. Data is encrypted in transit and at rest as designed in the platform.
Can I change or cancel my plan?+
Yes. Upgrade or downgrade anytime. Changes and cancellations apply to the next billing period; the current period is not refunded.
Which countries are available?+
Colombia is the primary market today, with regional expansion underway. Contact us if you operate elsewhere.
How do I pay for my subscription?+
Pay by bank transfer or payment link. We keep adding options by country.
What data can I export?+
Authorized staff can download relevant operational data. Always comply with local data-protection laws.
What if I need a feature cluubi does not have?+
Tell us. We evaluate value for the whole club community and prioritize continuous product improvements.
How does the club communicate with members and guardians?+
Besides the app, cluubi supports push notifications and operational messaging (e.g. reminders and notices), so you rely less on messy chat groups.
How are permissions controlled?+
Via roles and authorizations: the club decides what each role can see and do (admin, finance, sports ops, etc.).

How do I register members?+
From the members board: add, choose the type and complete the form. Invite them to sign up in the app immediately or later.
Which member types are supported?+
Staff with multiple roles, coaches, athletes, guardians and, if needed, vendors to track club expenses.
Who can use the app?+
Any authorized club member (except vendors). For legal compliance, minor access follows the country’s minimum age rules.
Can I set up multiple enrollments?+
Yes. Season enrollments, clone prior requirements and fees, and run multiple programs (training, tournaments, camps) in parallel.
Multiple guardians per athlete?+
Yes. Attach several guardians and choose who pays the family’s fees.
Can someone be both athlete and guardian?+
Yes. Parents who also coach or enroll in a club program are common.
What can guardians see?+
Family-group info, attendance, invoices and balances, payment history, calendar and related teams — as authorized by the club.
What can coaches do?+
Manage their teams: attendance, planning, call-ups and related calendar, with member visibility scoped by permissions.
Can I set differential fees?+
Yes: partial or full scholarships, family rates and extra charges on periodic billing.
How do I fix a wrong income or expense?+
You can reverse entries; they remain in account history for audit and traceability.
What member information can I store?+
Whatever your club needs to operate: profile, photo and enrollment documents, among others.
Can I adjust issued invoices?+
Yes, with authorized staff: reversals and edits are audited while keeping invoices and payments consistent.

Sports ops and calendar
Which sports does cluubi support?+
Team and individual sports. Colombia ships preconfigured disciplines (soccer, indoor soccer, basketball, volleyball, beach volleyball, skating, swimming, BMX, taekwondo, martial arts, chess, canine training and more). Clubs can configure additional sports.
Can I manage multiple sports?+
Yes. Ideal for multi-sport clubs, with structure per discipline.
Can I customize categories?+
Yes. Use sport presets or define your own categories.
Programs and tournaments for teams?+
Yes. Classify practice programs, leagues or other tournaments and build calendars per program and team.
Can I take attendance on the field?+
Yes. Authorized coaches mark attendance in a few taps; guardians can be notified.
Can I plan training exercises?+
Yes. Plan and track completion by stage (warmup, tactical, technical, physical, recovery) with sport templates.
Does cluubi have a tactical board?+
Yes. A practical touch tactical board for planned drills; we keep improving the toolkit.
Can I manage call-ups?+
Yes. Select call-ups, notify and keep the list visible to athletes and guardians.
Can we record match stats?+
Yes. Capture stats during matches to track team and athlete performance.
How do I schedule practices?+
Create an event, link team and program, set date, duration, recurrence and venue. Defaults depend on event type.
Social events or meetings?+
Yes. Club-wide or team/program-scoped events in seconds.
Can I cancel or change events?+
Yes. Edit, cancel or delete; when canceling you can record a reason and notify stakeholders.
